Why Your Finalsite or Ravenna Funnel Starts Too Late
Independent schools have, finally, built a respectable software stack around admissions. The major enrollment management systems — Finalsite Enrollment, Ravenna, Veracross, Blackbaud K-12 — handle inquiry forms, applications, financial aid, family communications, and yield tracking with real sophistication. It is also, structurally, focused on the wrong part of the funnel. Every one of those tools begins doing its job the moment a family fills out an inquiry form. Before that — for the 98% of website visitors who never identify themselves — your CRM doesn't see anything.
The gap, in numbers
A hypothetical school with 50,000 website sessions per year and a 2% inquiry rate: 1,000 inquiry-stage records in the CRM, and 49,000 sessions the CRM never saw. If 5% of that anonymous traffic could be converted into identified, even lightly-tagged leads, that is 2,450 net-new conversations with prospective families — more than doubling the size of the top-of-funnel pool the admissions team is working with. Why just optimizing the inquiry form doesn't solve it

The structural reality is that most families researching independent schools are not ready to fill out a form during their first several visits. The much larger pool of families who simply will not fill out a form during the consideration window is, in 2025-26, an increasing share of the inbound pool as Gen Z parents and ESA-using first-time families enter the funnel.
The complement, not the replacement
The right mental model for closing this gap is not "replace the CRM." Finalsite and Ravenna are the right tools for the work they were built for. The complement is a layer that sits in front of the CRM — handling the pre-inquiry stage, capturing engagement signals from anonymous traffic, and producing pre-qualified, pre-tagged leads that flow into the CRM when the family eventually identifies themselves. If your admissions software budget is currently spent entirely on the post-inquiry portion of the funnel, you are funding the smaller and more functional half of the work. The pre-inquiry half — where the 98% lives — is doing its job with whatever the website happened to be set up to do, which at most schools is "nothing in particular."
